About SSP Online

SSP Online is your new repository for records of your school’s sustainability journey. It’s the only tool you will need to help you incorporate climate choices into everyday operations, curriculum and community life, helping to create a climate-ready community.

This guide will help you navigate the SSP Online environment, ensuring you can successfully reach your sustainability goals. It is designed for desktop or laptop use of SSP Online. The location of the menu will differ on mobile and tablet screens.

Account Management

User registrations and school access requests require approval from the Sustainable Schools Programs and will be processed each business day.

  1. Create a new user at Sustainable Schools Program Online (SSP Online). Select 'Sign up now'.
  2. Complete registration details including your school email address, preferred password, given name and surname.
  3. Select send verification code to receive an email to complete user account creation.
  4. In the nominated email account, find and enter the verification code to complete user account creation.
  5. Enter the code and select 'Verify code'. Select 'Create' when all details are correct, the code is accepted, and the account is ready to be verified. Users will be logged into SSP Online and will be able to request access to their school.
  6. All schools in the ACT are already registered on SSP Online. Click ‘Find my school’. Type in the school’s name and select 'Enter' to search for the school. Select 'Request access to my school'.

Users must first follow the steps to register to access SSP Online.

  1. Go to SSP Online.
  2. Enter your username and password.
  3. Select the 'Sign in' button and enter the site.

  1. In the site menu on the left-hand side, select ‘My Account’.
  2. In the middle of your screen, select 'Reset password'.
  3. Enter your email address and select ‘Send verification code’.
  4. Go to your email to retrieve the code and go back to the ‘User details’ page.
  5. Enter the code on the ‘User details’ page and select ‘Verify code’.
  6. Select ‘Continue’. Enter a new password and then select ‘Continue’. This should reset your password.

  1. In the site menu on the left-hand side, select 'School Settings'.
  2. From the choices that appear, select 'Users'.
  3. Select the user you would like to change the role of. You may need to scroll past Lead to view Staff, Student, Principal and Volunteer, as each role is a drop-down tab. See SSP Online user roles to learn about the different roles.
  4. An edit bar will appear on the right-hand side. Go to 'Role' and select the new role you would like to allocate, then select 'Save'. The user will now appear under the drop-down tab of the new role you have selected in school users.
  5. To edit a user’s role, select ‘School Settings’ then ‘Users’. Select the user you would like to change the role of.
  6. An edit bar will appear on the right-hand side. Go to 'Role' and select the new role you would like to allocate, then select 'Save'. The user will now appear under the drop-down tab of the new role you have selected in school users
  7. You may need to refresh your page if this change doesn’t occur automatically.

  1. In the site menu on the left-hand side, select 'School Settings'.
  2. In the middle of your screen, select the 'School logo' link.
  3. A right-hand box will appear. Select 'Add a new document by clicking or dropping here'.
  4. Select your document containing your logo and select 'Open' or drag your logo file into the box from your computer.
    Please note: Documents must not exceed 5MB and pictures must not exceed 2MB.
  5. Select the 'Save' button in the bottom right-hand corner of the screen.

  2. In the middle of your screen, select the relevant year under 'Annual school data'.
  3. Select the edit icon in the top right corner.
  4. Input data and select the 'Save' button at the bottom.
  5. You may need to refresh your page if this change doesn’t occur automatically.

Bills and billing accounts

User registrations and school access requests require approval from the Sustainable Schools Programs and will be processed each business day.

  1. In the site menu on the left-hand side, select 'Bills'.
  2. In the site menu under 'Bills' select 'Billing accounts'.
  3. In the centre of your screen, select 'Add billing account'
  4. Enter account information and select the 'Save' button at the bottom.
  5. For additional accounts, use the ‘Add new account’ button in top right of the screen.

  1. In the site menu on the left-hand side, select 'Bills'.
  2. In the middle of your screen, select 'Add bill'.
  3. Select the biller from the drop-down menu.
  4. Enter data and be sure to scroll down to complete all fields.
  5. Select the 'Save' button at the bottom.
  6. The bill should appear in the list of bills. You may need to refresh your page if this change doesn’t occur automatically.

Reports

User registrations and school access requests require approval from the Sustainable Schools Programs and will be processed each business day.

  1. In the site menu on the left-hand side, select 'Reports'.
  2. On the right-hand side of your screen, select the ‘Year type’ and ‘Year’ you want data from, then select 'Print the Annual Report'.
  3. In the pop-up print box, choose your print or save option from the destination.
  4. If you choose 'Save as PDF', then select the blue 'Save' at the bottom.
  5. In the 'Save As' dialog box, type a file name, select the location, then select 'Save'.

  1. In the site menu on the left-hand side, select 'Reports'.
  2. The annual report should appear in the middle of your screen.
  3. From the drop-down menus on the right-hand side of your screen, select the period; either Financial year or Calendar year.
  4. You can also select ‘All time report’ or ‘Comparison report’ from the site menu. These will be useful as you accumulate more data across different resources.
  5. Print the report or save to PDF, if required.

Modules and actions

User registrations and school access requests require approval from the Sustainable Schools Programs and will be processed each business day.

  1. In the site menu on the left-hand side, select 'Modules and actions'.
  2. In the middle of your screen, select which one of the five modules you wish to begin by selecting 'Start module’ or ‘Continue module' in the top right corner of the module.
  3. Note that under the progress bar there is an ‘Actions’ tab and ‘Final Comments’ tab. You are viewing the Actions tab. Select the category of actions you wish to complete, such as 'B: Learning and Teaching'.
  4. The list of actions in that category will appear. Compulsory actions are noted with a grey box under the action. All incomplete actions are noted by a purple ‘In progress’ button. Select anywhere on the action to get further information about that action.

  1. From the ‘Dashboard’ select the module you are working on by clicking the relevant icon on the module progress circle or click on ‘Modules and Actions’ tab from the site menu.
  2. Open the relevant section to find the action you wish to complete.
  3. For every action you wish to complete, read the information provided to help ensure the action is completed correctly and the suggested supporting material is submitted.
  4. Take note of the instructions –'Comment required' or ‘Document required'.
  5. Enter your comment by selecting the ‘Add comment’ button. Write the comment and select the blue 'Save' button.
  6. To upload documents (either required or optional), select the ‘Add’ button which will open a dialogue box. Add the document name, description, and relevant tags, then upload your document by selecting 'Add a new document' or drag your file into the box from your computer. Select the 'Save' button.
    Please note: Documents must not exceed 5MB and pictures must not exceed 2MB.
  7. To mark the action as complete, press the black ‘Complete’ button. Scroll up to check the blue ‘Complete’ button now shows next to the action.
  8. When actions are completed, this will be recognised by the purple ‘In progress’ button changing to a blue ‘Complete’ button. You are still able to add comments and documents to the actions that are marked as completed until the module is submitted for certification.
  9. The selected module page will now show your percent progress via a blue bar, such as 15% of energy actions have been completed.
  10. Your progress is also reflected on the ‘Modules and actions’ page and on your ‘Dashboard’. This will be indicated by the icons in the ring changing colour; e.g. for energy, the light globe will change from grey to yellow.

There are various templates and other support documents to assist schools to complete modules and actions.

  1. To find a template or other support documents, in the site menu on the left-hand side, select 'My Documents'.
  2. From the choices that appear, select 'Helpful Documents'.
  3. Scroll through and select the template or resource that aligns with the action you are completing.
  4. Select the relevant resource, download, complete, and attach it to the action, if applicable.

  1. In the site menu on the left-hand side, select 'Modules and actions'.
  2. In the middle of your screen, select the module that you would like to submit by selecting 'continue module'.
  3. Make sure all compulsory actions and the number of additional actions have been completed with appropriate comments and documentation.
  4. Select the 'Final comments' tab and make sure your final comments are completed.
  5. Select the 'Submit for review' button. If this button is unavailable, this means that there are missing actions, comments, or evidence in that module.

SSP Online user roles

There are various user roles in SSP Online with associated abilities. Roles below are listed in order of highest to lowest access to abilities. This will inform which role to choose when inviting a new user, or if user roles need to be changed.

The Lead role is able to:

  1. Edit/update annual data
  2. Generate and print reports
  3. Add/edit bills and billing accounts
  4. Mark actions as complete
  5. Submit modules for assessment
  6. Add a comment in module actions
  7. Post a story on the newsfeed
  8. Upload, edit, download, and delete resources
  9. Edit/update school information
  10. Add school logo
  11. Invite new users
  12. Update/edit user types

The Principal role is able to:

  1. Edit/update annual data
  2. Generate and print reports
  3. Add/edit bills and billing accounts
  4. Mark actions as complete
  5. Submit modules for assessment
  6. Add a comment in module actions
  7. Post a story on the newsfeed
  8. Upload, download, and edit resources
  9. Edit/update school information
  10. Add school logo

The Staff role is able to:

  1. Edit/update annual data
  2. Generate and print
  3. Add/edit bills and billing accounts
  4. Mark actions as complete
  5. Submit modules for assessment
  6. Add a comment in module actions
  7. Post a story on the newsfeed
  8. Upload, download, and edit resources
  9. Edit/update school information
  10. Add school logo

The Volunteer role is able to:

  1. Edit/update annual data
  2. Generate and print reports
  3. Add/edit bills and billing accounts
  4. Mark actions as complete
  5. Submit modules for assessment
  6. Add a comment in module actions
  7. Upload, download, and edit resources

The Student role is able to:

  1. Edit/update annual data
  2. Generate and print reports
  3. Add/edit bills and billing accounts
  4. Mark actions as complete
  5. Submit modules for assessment
  6. Add a comment in module actions
  7. Upload, download, and edit resources

The Guest role is able to:

  1. Download resources
